Process Overview


10 January 2017 | Initial Acceptance and Deliverables

Congratulations on having your proposal selected for EMEA Congress 2017! Please refer to your email from Congress.Speakers@pmi.org. Your initial deliverables are now due. You can submit your deliverables through the online Call for Presentations Platform. Please note, if you have forgotten your login credentials, you can use the Reset Password option on the login page to retrieve them.


Due at this time:


  • Formal acceptance: respond to acceptance email from Congress.Speakers@pmi.org to confirm.

  • Confirmation of session details: your proposal title and/or description may have been edited based on feedback from an audience of your peers. You will find the updated information on your proposal form.

  • Confirmation of co-presenters (if applicable): no co-presenters can be added at this time. If your co-presenter(s) is(are) no longer available, please let us know.

  • Confirm profile: Once you are logged into the platform, select My Profile to view your profile, including the headshot and bio on record. If there are any changes to these, please make them directly in the platform. The information on your profile is exactly how your name, company, photo, and bio will appear in the event materials.

  • Event registration information (for yourself and your co-presenters): as a courtesy, PMI will register yourself and your co-presenters for the event. Please complete the provided digital form with any missing demographic information. A separate form should be completed for each presenter and co-presenter. You will receive a notification once your registration is processed, on or around 7 February 2017, and your co-presenter(s) will be able to submit their registration fees at that time.


Presenters that do not respond by this deadline will be considered unable to participate and an alternate presentation will be selected.



24 January 2017 | Webinar: Preparing Your Presentation Storyboard

In an effort to support congress presenters, a strong effort will be placed this year in providing you with the tools you need to deliver a successful live presentation. To allow you time to focus your efforts, the white papers have been eliminated from the programme.


To kick off the experience, we invite you to participate in a live webinar on 24 January from 12:00 - 12:30 ET (16:00 - 16:30 GMT) which will officially kick off the development of this year’s congress.


This LIVE webinar will detail the following:


  • Congress Development Timeline

  • Presentation Development and Delivery Programme

  • Preparing Your Presentation Storyboard

  • Scheduling Your One-on-One Meeting with PMI Staff


All congress presenters, whether veteran or new, are strongly encouraged to attend.



01 February 2017 | Congress Schedule Announced

You will receive an email once the schedule is available containing the date and time of your session. Due to the volume of sessions, we will be unable to make any changes to the schedule after this time. Please note, PMI is unable to honour any special scheduling requests.



10 February 2017 | Event Registration Processed

Your event registration will be processed on or before this date, and an email notification will be sent to the primary presenter, along with any co-presenters. The email will contain details regarding accessing your registration record and confirmation, along with submitting your event fees (if applicable).


As a reminder, PMI will grant each primary presenter a complimentary registration and up to two (2) co-presenters (identified at the time of the proposal submission) a 33% discount off registration to the event. VAT taxes may apply based on local policies and are the responsibility of the purchaser. The registration fee includes: 3 lunches, 2 receptions and breaks each day; access to the Industry Provider Kiosks; and the ability to earn PDUs. Speakers are often asked to participate as thought leaders for “special activities” determined during the programming development phase. Travel and hotel expenses are the responsibility of the presenter.



20 February 2017 | Presentation Storyboard Due

Presenters are required to submit their presentation storyboard by this deadline. Once received, this outline will be reviewed by a subject matter expert who will provide feedback on your content. Stay tuned for further instructions on how to upload. A worksheet, along with samples and instructions, are located in the Resources section below.


Be sure to have attended the webinar entitled Preparing your Presentation Storyboard as this will include instructions and expectations.



20 February - 24 March 2017 | Scheduling Open for Live Meetings with PMI Staff

New to the process this year is an opportunity to have a live meeting via Web Ex with a PMI staff member prior to your session, to receive real-time feedback on your session. You will deliver your presentation as if you are delivering it to a live audience. Note, your draft slide deck must be received two days in advance of your meeting.


Meetings are 90 minutes in length. You will be able to choose the date and time of your meeting, based on availability. You will be provided with details regarding scheduling your meeting once your storyboard has been received and approved.



27 February 2017 (or 1 week from receipt) | Feedback Sent for Presentation Storyboard

Feedback will be sent regarding your presentation outline when it is available, and no later than the above mentioned date.

 

6 – 24 March 2017 | Presenter-PMI Staff Live Meetings

As noted above, new to the process this year is the opportunity to meet with a member of the PMI congress team, chat about your session, practise before delivering it at the live event, and receive real-time feedback or coaching. The schedule will be available upon receipt of your outline for a date and time within this timeframe. The scheduled time will need to include your initial draft of the PowerPoint presentation intended to accompany your session on the required template.


Sessions are 90 minutes long and are offered on a first come, first served basis. Special scheduling requests will not be accommodated. We recommend scheduling your session as soon as you know your availability. Veteran presenters will be addressed on a case-by-case basis.



10 March 2017 | Deadline for On-site Bookstore Requests

If you have authored a book and would like to have it considered for the onsite bookstore, please contact booksonline@pmi.org with the following information:
  • Author Name

  • Title of the Published Booking

  • Publication Date

  • Publisher

  • ISBN Number(s)



Starting 12 April 2017 | Reserve Onsite Practise Room

Presenters may reserve time in the onsite practise room to practise their presentation prior to its formal delivery.


In addition, members of the local Toastmasters Club in Rome will be available to coach you on your presentation delivery and presence. To coordinate a time with an expert, presenters must schedule in advance. Details to follow.



14 April 2017 | Final Presentation Due

Presenters should plan to deliver their final slide deck on the appropriate template to the PMI congress team by this deadline. Please note the final presentation delivered on 14 April will be the version uploaded for attendee access.


Presenters are encouraged to submit two versions of their final presentation using the following naming convention:


  • Last name _first name – presentation (eg. Smith_John-presentation)

    This version may include speaker notes or comments for your use during your presentation.


  • Last name_first name – website (eg. Smith_John-website)

    This version will be posted for registered attendees as a PDF. Please be sure to remove any speaker notes or internal comments, or any video media or animations that will not present clearly as a static slide. If we do not receive a version of your presentation marked “website,” we will convert your presentation to a PDF and post as-is.

This final webinar will provide onsite details on what to expect when you arrive to the Rome Cavalieri in Rome, Italy—the EMEA congress location.


This webinar will be held LIVE on 18 April, 12:00 - 12:30 (EST) [16:00 - 16:30 GMT]

In an effort to address attendee feedback to obtain speaker presentations during the event; all submitted presentations will be published as a PDF. Access to presentations will be made to registered attendees only and via the congress webpage.
